What Does Google Replacing Gemini Gems With Skills Mean for Your Small Business?

October 14, 2026

Google is retiring Gems and moving everyone to skills. Here is what changes, what to do before the deadlines, and why this is the best nudge you will get this year to write down how your business works.

I have a Gem with a job to do.

It makes the images for the Goal Achievers Summit newsletter. It holds the brand style, the colors, the modes, all of it. I type a short prompt, and it hands back an image that looks like it belongs. That Gem saves me real time every single week.

And Google just told me it is going away.

So what does Google replacing Gemini Gems with skills mean for your small business? In plain terms: your saved AI helpers are getting an upgrade and a new home. Skills do what Gems did, plus they work inside Gmail, Docs, and the rest of Google Workspace, and you can stack more than one in a single chat. Your Gems will be converted for you, but they land as inactive drafts you have to review and switch on. Business accounts keep their Gems until at least March 1, 2027. Personal accounts start changing on November 17, 2026.

Here is my take. Do not wait for the automatic move. Use this switch as a reason to rebuild your best instructions on purpose, one at a time, starting with the one you use most.

Key Takeaways

  • Google is replacing Gemini Gems with skills, reusable instructions you call by typing "/" in any Gemini chat.
  • Skills work in both the Gemini app and Google Workspace apps, which Gems never did.
  • Personal accounts see Gems move into Settings on November 17, 2026. Business and enterprise accounts keep Gems until at least March 1, 2027.
  • Converted Gems arrive as inactive drafts, so someone has to check and switch on each one.
  • Skills use the open SKILL.md format, so the work you put into one is portable and less likely to be lost in the next switch.

Why Does This Change Feel Like One More Thing on Your Plate?

Because it is one more thing on your plate.

You did the work. You sat down one night, after the kids were in bed, and you built a Gem that writes your client follow-ups in your voice. Maybe another one that turns your messy notes into a clean weekly plan. You tested it. You fixed it. It finally works.

Now the platform moves the furniture.

I get the frustration. Most of us running a business from home do not have an IT person. You are the IT person. You are also the marketing team, the bookkeeper, and the one who answers the phone. So when a tool you trust changes, it lands on you, usually at a bad time.

There is a second problem hiding under the first one. A lot of people have no idea what their Gems actually say. They built them fast, tweaked them in the chat, and never wrote the instructions down anywhere else. If a conversion goes sideways, there is no backup.

Anyone who has spent time on a shop floor knows this problem. I spent 16 years in manufacturing and supply chain, and it is one of the oldest risks there is. One skilled operator knows the trick that keeps the line running. Nobody writes it down. When that person leaves, the trick leaves too, and the team starts over.

Your Gems are that operator. They know how you like things done. If the only copy lives inside one app, you are one product update away from starting over.

That is the real risk here. Google is not deleting your work today. But this change is a fair warning that the place your AI instructions live can shift under your feet. The answer is to own them.

What Did Google Actually Announce, and What Does the Research Say?

Let me lay out the facts first, then the numbers that explain why this matters.

Skills replace Gems, and they do more. Google's Workspace admin help page calls skills "a modular, reusable way to apply tailored instructions" to your chats and workflows. You call one by typing "/" plus its name in any Gemini chat. You can use several skills in one prompt. And skills also work inside Workspace apps like Gmail and Docs. Gems never could. Android Headlines gave a good example of stacking: a brand guidelines skill plus a tone skill, used together on one project.

Gemini can suggest a skill for you. According to Android Headlines, Gemini can notice when you repeat a prompt and offer to turn it into a skill. Thurrott reported that Gemini can also apply a skill on its own when it judges the skill fits your request.

The dates depend on your account type. Here is what Google's admin page lays out:

  • October 5, 2026: Skills began rolling out in Google Workspace.
  • October 13, 2026: Skills started rolling out in the Gemini app for all users. You can use Gems and skills side by side for now.
  • November 17, 2026: Gems move into Settings in the Gemini app. You can still create, edit, and use them there for a while.
  • No sooner than March 1, 2027: Business and enterprise users can no longer create, edit, or use Gems. Any Workspace Studio flow with an "Ask a Gem" step stops working.

Your Gems convert, but not all the way. Google says Gems will be converted to skills automatically. The names, descriptions, instructions, and uploaded files carry over. But converted skills show up as inactive drafts. You have to review each one and turn it on before you can use or share it.

There is a catch for Workspace users. Skills do not sync between the Gemini app and Workspace apps right now. If you want the same skill in both places, Google says you need to recreate it by hand in Google Workspace Studio. Google also recommends that creators rebuild their most important Gems as skills before the automatic move starts.

The format is open. This is the part I like most. Google's admin page says skills use the open, Markdown-based SKILL.md format, so they can move between tools. Your instructions become a plain text file you can read, copy, and keep.

Now the research. Why should a small business owner care this much about saved AI instructions?

Because almost everyone is using AI now. The 2026 AI Impact Report from Intuit QuickBooks surveyed more than 34,000 small and midsize business owners. It found that 77 percent of U.S. businesses use AI regularly, up from 48 percent in July 2024. And 78 percent of U.S. businesses said AI has improved their productivity.

Because the time savings are real. A Business.com study of 1,009 U.S. workers at businesses with 2 to 250 employees found that people save an average of 5.6 hours a week with AI. Managers saved about 7.2 hours. A separate Tech.co survey of 300 U.S. business leaders found that 22 percent say AI saves them 6 to 10 hours of work per week. The top uses there were writing at 29 percent and research at 26 percent.

Because the biggest fear is mistakes. The QuickBooks report found that the top barriers to using AI are privacy and security, fear of errors, and uncertainty about what AI can do.

Put those together. You are probably saving hours a week with AI. Most of those hours come from repeat jobs like writing and research. And the thing that worries you most is the AI getting it wrong.

A well-built skill is the fix for all three. It holds the hours, it handles the repeat job, and it cuts down on errors because the AI follows the same written rules every time.

Your Best Prompt Is Standard Work, So Treat It That Way

Here is the reframe I want you to walk away with.

In manufacturing, we had a term called standard work. It means the best known way to do a task, written down, so anyone on any shift gets the same result. Standard work freed people up. Once the routine was captured, the team could spend their energy on problems that needed a human.

A skill is standard work for your AI.

When you write a skill, you are writing the procedure. How you answer a new lead. How you format a proposal. What your brand sounds like. Which words you never use. Once that procedure lives in a file, the AI follows it the same way on Monday morning and on Friday night.

Gems were a start, but they lived in one spot and they were hard to see. Skills are a better container. The open file format means the procedure belongs to you, and the Workspace access means it shows up where you already work.

So frame this change as the push to finally write down how your business runs. That is the move that gives you back Time, Money, or Energy. Time, because you stop retyping the same long prompt. Money, because you stop paying for tools that only do one saved prompt. Energy, because you stop wondering if the AI will remember how you like things.

How I Already Run My Business on Skills

I am not guessing about this. Skills are how my business runs day to day.

I have an AI workforce of 11 named agents. Each one has a written job description that tells it exactly what to do, what to avoid, and when to hand something back to me. When I want a newsletter, a blog post, or a social plan, I do not start from a blank chat. I call the agent, and it follows its written rules.

This article is a good example. It came out of a blog workflow that runs on a set of skills. One skill handles the research and structure. Another skill strips out robot-sounding words and makes the draft sound like me. A third checks reading level and style. I wrote those rules once. Now they run every time.

The newsletter engine for the Goal Achievers Summit, where I am a partner, works the same way. The whole weekly workflow is a skill. And yes, that is where my image Gem from the top of this article lives. The skill hands a short prompt to the Gem, and the Gem already knows the brand style. That setup is exactly what Google's change will touch, so it is first on my own list to rebuild.

The same idea runs my family systems. My Weekly Meal Planner replaced HelloFresh in our house and ended the Sunday planning spiral. It works because the rules are written down: what we like, what we do not eat, what the week looks like. My Digital Wall Calendar replaced a $50 a month subscription and the nightly "who is driving where" conversation. Same story. Clear rules, written once, used every day.

None of that depends on one app staying the same forever. The rules are mine. If a tool changes, I move the rules. That is the whole point.

If you want to see what this looks like inside Google's own apps, I wrote about it in my post on whether Claude can edit your Google Docs, Sheets, and Slides directly. The same idea of AI working where your files already live shows up here too.

What Does This Look Like for a Small Business Owner?

Let me give you an example. This is a made-up picture, not a client story, but it is the kind of setup I see all the time.

Picture a parent who runs a bookkeeping practice from a home office. She has three Gems. One writes follow-up emails after a discovery call. One turns her rough notes into a monthly client summary. One answers common questions in her newsletter voice.

Under the new system, she skips the wait for the automatic conversion. She opens each Gem, copies the instructions into a plain document, and reads them with fresh eyes. She finds that the follow-up Gem still mentions a price she changed in the spring. She fixes it.

Then she rebuilds each one as a skill. Because skills work inside Gmail and Docs, her follow-up skill now shows up right where she writes the email. Because skills can stack, she builds one more small skill that holds only her brand voice and uses it alongside the other three. Now when she changes her tone, she edits one file, not three.

That is the shift. Three separate helpers become a small, organized system. And she owns a copy of every rule.

How to Move From Gems to Skills Without Losing Your Work (7 Steps)

  1. List every Gem you have. Open the Gemini app and write down each Gem by name. Next to each one, note how often you use it: daily, weekly, or almost never. The "almost never" ones can probably go.

  2. Copy the instructions out today. For each Gem you keep, copy the full instructions into a Google Doc or a plain text file. Save any knowledge files you uploaded to the same folder. This is your backup if the conversion misses anything.

  3. Clean up while you are in there. Read each set of instructions out loud. Cut anything outdated, like old prices, old offers, or old team names. Add anything you keep typing by hand after the Gem answers. That extra typing is a sign the instructions are missing a rule.

  4. Rebuild your most-used Gem as a skill first. Do not try to move everything in one night. Pick the one you use most and recreate it as a skill. Test it on three real tasks from this week. If the results match or beat the old Gem, move on to the next one.

  5. Pull shared rules into their own skill. If your brand voice or your list of banned words shows up in several Gems, put it in one separate skill. Then stack it with the others. One edit updates everything.

  6. Check where you need it. If you want a skill in both the Gemini app and Gmail or Docs, remember they do not sync yet. Rebuild it in Google Workspace Studio too, and keep your saved text file as the master copy.

  7. Put the deadline on your calendar. If you have a personal account, mark November 17, 2026. If you are on a Workspace business plan, mark a reminder for February 2027, well before the March 1 cutoff. When converted drafts show up, review and switch them on that same week.

If you want a simple way to make this a weekly habit, my post on the AI weekly reset for parent entrepreneurs walks through a Sunday routine that keeps your systems current.

Frequently Asked Questions

What are Gemini skills?

Gemini skills are saved, reusable instructions you call by typing "/" and the skill name in any Gemini chat. They replace Gems. Skills can include files like PDFs and images, can be stacked together in one prompt, and work in both the Gemini app and Google Workspace apps such as Gmail and Docs.

Will my Gemini Gems be deleted?

Your Gems will not simply disappear. Google says they will be converted to skills automatically, keeping their names, instructions, and uploaded files. Converted skills arrive as inactive drafts, so you must review and turn each one on. Copy your Gem instructions somewhere safe before the move as a backup.

When do Gems stop working for business accounts?

Business and enterprise Workspace accounts can keep using Gems until at least March 1, 2027, according to Google. After that, users cannot create, edit, or use Gems, and Workspace Studio flows with an "Ask a Gem" step stop working. Personal accounts see Gems move into Settings starting November 17, 2026.

Do I need to rebuild my Gems by hand?

You do not have to, but it is the smart move for the Gems you rely on. Google itself recommends rebuilding critical Gems as skills before the automatic migration. Rebuilding lets you clean out old details, test the results, and set up the skill in both the Gemini app and Workspace.

Can I use my skills outside of Google?

Google says skills use the open, Markdown-based SKILL.md format, which is designed to move between tools. In practice, that means your instructions live in a plain text file you can read and keep. Always save your own copy so your rules are never locked inside one app.

Write It Down Once, Use It Every Day

Back to my image Gem.

It is going to be fine. I will rebuild it, test it on next week's newsletter, and switch it on. Twenty minutes, maybe thirty. The part that took real effort, figuring out the brand style and the image modes, is already written down. That is why the move is easy.

That is what I want for you.

You have built things with AI that save you hours. Do not let those things live in a box you cannot open. Write them down. Clean them up. Rebuild the ones that matter on purpose. Own the procedure, and let the tool be the tool.

Platforms will keep changing. Google changed this month. Someone else will change next month. The business owners who come out ahead are the ones who wrote their rules down and can carry them anywhere.

Every system should give you back Time, Money, or Energy. A skill you own gives you all three, and it keeps giving long after the app you built it in has moved on.

That is A Better Way.
